    Church vans and buses play a vital role in ministry, especially with the various summer youth trips your churches have lined up. However, they also carry significant liability. Whether churches own vehicles or borrow/rent one, here are a few key things to help promote safety in ministry:  Insurance Checklist   If your church owns a van, bus, or even a trailer, you must have commercial auto insurance. Personal auto insurance won’t cover ministry-related accidents, even if a volunteer is driving. Church-owned vehicles:  Require commercial auto coverage. Personal vehicles used for ministry:  Should be disclosed to your insurer. You will need  hired and non-owned auto coverage (HNOA) . Rented vehicles:  Check if your policy covers short-term rentals or if you need to add coverage under HNOA as well.   Driver Screening Not everyone with a license should drive for church events. Create a policy that lists  approved drivers  and review it regularly. Insurance Companies often require: A tiered scoring system where certain amounts or types of driving violations would make a driver ineligible.  (Sample here) A  minimum age requirement  (usually 21 or 25). Proof of  valid insurance  (for personal vehicles). Background checks  for those transporting minors.   Vehicle Maintenance Records Keep vehicles well-maintained with logs of: Oil changes, tire checks, brakes, and lights. Annual inspections.     This article was created based on a response to a series of questions we received from a member church. As questions about insurance coverage and property valuations become increasingly common among church leaders, it's essential to understand how valuation works and why it matters. Below are insights from the United Methodist Insurance Program (UMIP) in response to frequently asked questions about establishing a proper building valuation. Why Valuation Matters The valuation of a church building for insurance purposes is based not on market value, but on the cost to repair or rebuild the structure. Historically, insurance companies would accept the value provided by the insured unless it appeared to be too high or too low. Today, however, there’s a growing trend of insurance carriers determining the building’s value based on proprietary models. These valuations are often nonnegotiable and can result in increased premiums. Having a professional valuation from a reputable source may help, but it doesn’t guarantee the carrier will adjust their estimate. Nevertheless, establishing an accurate valuation is crucial—especially for meeting co-insurance requirements and ensuring the church receives sufficient coverage in the event of a loss. Make sure the carrier’s estimate meets the amount you would need to rebuild. Who Determines the Valuation? It is typically the responsibility of the insured—that is, the church or ministry—to determine and propose a value for the property. While churches can do this internally, many opt to hire outside professionals with expertise in insurance-related appraisals. Choosing a Qualified Evaluator When selecting an outside appraiser, look for professionals who adhere to the Uniform Standards of Professional Appraisal Practice (USPAP®) . Additional credentials, such as membership in the Appraisal Institute and adherence to its Code of Professional Ethics , can also indicate reliability. Churches should verify an appraiser’s references and experience—especially experience specific to insurance valuations. In Minnesota, for example, Sec. 82B.195 MN Statutes  outlines standards for appraisal professionals. Special Considerations Parsonages : Stand-alone parsonages are included under “All Church buildings” and should go through the same valuation process. Special Risk Coverage : This type of policy covers all causes of loss except those specifically excluded. Stained Glass Windows : Valuing stained glass can be especially nuanced. There are few certified appraisers for stained glass in the U.S., but accredited studios—such as Gaytee-Palmer Stained Glass Studio  in Minneapolis—may be able to help. Involving Your Carrier It’s wise to involve your insurance carrier in the valuation process. They often have up-to-date knowledge on construction costs in your region and will ultimately decide whether the value you’ve placed is reasonable.     It's time to bring out your light jackets and flannels for the cooler weather! Before the cold weather and snow come to your neck of the woods, be sure your church is preparing to maintain its buildings through the colder months. Consider our fall checklist below to help prepare your church for what lies ahead. Gutters Those beautiful autumn leaves can turn into major headaches when it comes to your gutters. Gutters clogged by leaves and other debris can lead to water and ice damage down the line. Gutters should be cleared of debris before and after the leaves fall. Be sure to take proper safety precautions when working on a ladder. Windows Check windows for cracks, separation, weather stripping, drafts, and proper latching. Take time to clean the interior and exterior windows of the church. Check with your local energy provider about possible window replacement programs to provide your church with energy-efficient windows. Landscape Completing seasonal tasks such as cutting grass, trimming hedges, raking leaves, etc., will help ensure your church is pleasing to the eyes of your members and the community. Check your sidewalks, walkways, and other hard surfaces for cracks and potential trip hazards. Pay attention to your parking lots by filling in potholes and clearing dangerous debris like glass or nails. Finally, make sure all your handrails are secure and structurally sound. Furnace Maintenance Your furnace is sure to get plenty of use this winter, so check it and ensure it's in great shape before the cold weather arrives. If your furnace breaks down in the middle of a snowstorm, it can potentially cause frozen pipes or other significant damage to your building. Equipment Check Make a plan to examine and perform necessary maintenance on all of your seasonal equipment before the winter weather hits. After completing the repairs, move your fall and winter equipment like doormats, shovels, leaf blowers, and snow blowers to where they will be easily accessible. Lighting Take a stroll around the property at dusk. Take note of when lights come on and ensure that all lights function correctly. If streetlights are out, be sure to contact your local government agency to have them fixed or replaced. Fire Safety and Prevention Arrange to service or replace fire extinguishers. Your local fire department may be able to help you with this process. Also, check the batteries in all the smoke detectors throughout the church. Replace dying batteries and wipe away dust and debris. Plumbing and Insulation Check faucets, drains, plumbing, and the surrounding insulation for leaks and corrosion. Perform general maintenance and repairs where necessary. Begin Winterizing In addition to the tips we've already covered, it's a good idea to begin winterizing your church's buildings while the weather is still moderate. Check the insulation on pipes, place weatherstripping and plastic over windows and doors, and start accumulating salt, shovels, and other supplies you'll need for winter. With cyber-attacks becoming more sophisticated, it is crucial that you protect your church’s information. So, how do you keep your sensitive data safe? Use Strong Passwords:  While it may sound simple, having a strong password is one of the easiest ways to safeguard your information. Instead of using passwords like " church2024 " or “ password123 ”, use a mix of letters, numbers, and symbols, such as “ 1@UxMxCx411 ”. You can set up automatic backups so you don’t have to remember to do it yourself — just make sure they’re stored securely in two different places, such as a cloud service and an external hard drive. Use Secure Cloud Storage:  If your church stores data in the cloud, make sure it’s secure. Look for a trusted provider, like Google Drive, Dropbox, or Microsoft OneDrive, that offers encryption and two-factor authentication. These security measures add an extra layer of protection than just a password. Train Your Team:  Your church’s data security is only as strong as the people handling the information, so make sure your staff and volunteers know how to handle your sensitive information. Teach them about the importance of keeping data safe and how to spot potential threats.
